About Pulsix AI

Pulsix AI, from Zebrix Group Inc., is a building intelligence platform for building owners, their building engineers and staff, and the contractors who inspect and maintain their buildings. This policy explains what information we collect when you use our mobile app, web applications and website, how we use and share it, how long we keep it, and your rights regarding that information.

Information We Collect

We collect the following categories of information:

Account information: your name, work email address, phone number if you provide one, organization and role.

Inspection photos and evidence: images, video, readings and notes you capture or upload, including GPS coordinates embedded in photo metadata at the time of capture.

Building and work records: building, equipment and roof records, findings, grades, documents you upload (including warranties, leases and financial records), cost estimates, work requests, work orders and invoices.

Work requests and notifications: when you submit a work request, including by scanning a QR or NFC label in a building, we collect your description, any access instructions, and the email address or phone number you give us for updates. When you receive work notifications we keep your notification preferences, the destinations you choose, delivery status, and the actions you take by replying.

Device and session information: IP address, device type, operating system version, push notification token, and authentication tokens used to secure your session.

Usage and security events: in-app actions such as inspection creation, approvals, exports and sign-ins, used to operate, secure and improve the platform.

Information From Your Contractors' Systems

With a building owner's authorization, Pulsix AI may import records about that owner's buildings from systems operated by the owner's contractors, such as inspection history, photos, warranties and documents. Imported records keep a note of their source, and the owner can ask us to remove them.

How We Use Your Information

To operate the platform: processing inspections and work, generating AI-assisted findings, reports, forecasts and proposals, routing work requests, sending the notifications you ask for, and syncing data across your team.

To improve the service: aggregated, de-identified usage patterns help us prioritize features and fix issues. We do not use one customer's data to train models offered to other customers without that customer's written consent.

To communicate with you: service notifications and support responses to requests you initiate.

For security: detecting and preventing unauthorized access or abuse, and keeping audit records.

Data Storage

Your data is stored in the United States. The platform runs on Render in the Oregon region, and data is stored on Supabase, a cloud database and storage platform hosted on Amazon Web Services in the US West (Oregon) region. Inspection photos and documents are stored in Supabase object storage. Machine-learning results derived from platform data are stored in Zebrix Group Inc.'s own Amazon Web Services account in the same region. All data in transit is encrypted using TLS. Data at rest is encrypted by the storage provider.

Data Sharing and Service Providers

We do not sell, rent, or trade your personal information to third parties. We share information only with service providers who help us operate the platform, under agreements that limit their use of it, and we may disclose information if required by law or to protect our rights.

Our service providers are: Supabase (database, sign-in and file storage); Render (application hosting); Amazon Web Services (infrastructure and storage of derived machine-learning results); Anthropic and OpenAI (AI analysis of photos, findings and documents you upload, under terms that do not allow them to train their models on that data); Google (maps, address lookup and roof geometry); Resend (email delivery); Twilio (text message delivery and replies); Expo and Apple (mobile push notifications); and HubSpot (website form submissions). Building owners may also connect systems they choose, such as their own customer relationship or project management systems.

We will update this list before a new service provider processes your personal information.

Text Messages and Notifications

If you choose to receive work notifications by text message, we confirm your phone number with a one-time code before we send updates, and messages relate only to work you requested or are assigned. Message frequency varies with the work. Message and data rates may apply. Reply STOP to stop text messages and HELP for help, or change your preferences in the app. Replies you send are used only to update the related work.

Push and email notifications follow the preferences you set in the app.

How Long We Keep Information

We keep account and building records for as long as the organization uses Pulsix AI, and as required by contract or law. Contact details given with a public work request are removed 12 months after the request is closed. Notification destinations recorded for delivery are removed 12 months after the final delivery status. Audit and security records are kept for at least three years. Backups are kept for up to 30 days.

Website Forms (pulsixai.io)

When you use a form on pulsixai.io (the pilot interest form, the data center evaluation request or the research program application), we collect what you enter: your name, email address and company or organization, and, if you choose to provide them, your phone number, job title, facility details and message.

We use this information only to respond to your request, evaluate pilot and program participation, and keep a record of our correspondence. Submissions are stored in HubSpot, the customer relationship system that processes them on our behalf. Each submission also records the page it came from and your IP address, which HubSpot uses to prevent spam and to attribute the request.

pulsixai.io itself sets no cookies and uses no advertising trackers. If you previously visited another Zebrix Group Inc. website that set HubSpot's tracking cookie (hubspotutk), that cookie is sent with your form submission so the request can be linked to your earlier visit.

Your Rights and Data Deletion

You have the right to access, correct, or delete your personal data. You can permanently delete your account and all associated data directly from the app:

Open the app and go to Settings.

Scroll down and tap "Delete Account".

Follow the on-screen confirmation steps.

Account deletion removes your user record, authentication credentials, and all associated inspection and proposal data from our active systems. If you are the sole owner of an organization, the organization record is archived and becomes inaccessible. Data may be retained in encrypted backups for up to 30 days before being permanently purged.

Cookies and Tracking

The Pulsix AI mobile app does not use advertising cookies or third-party tracking SDKs. We use secure session tokens stored locally on your device solely to maintain your authenticated session.

Children's Privacy

Pulsix AI is a professional business tool not intended for anyone under the age of 18. We do not knowingly collect personal information from minors.

Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via the app or by email. Continued use of the platform after notice constitutes acceptance of the updated policy.
